Artificial Intelligence (AI) Usage Policy

Journal of Academic Surindra Rajabhat

The Journal of Academic Surindra Rajabhat recognizes the growing influence of Artificial Intelligence (AI) technologies on the creation of knowledge, especially within the fields of humanities and social sciences, which emphasize the researcher’s intent, critical analysis, and the ethical generation of academic value. Accordingly, the journal has established this AI Usage Policy to serve as a guideline for all relevant parties as follows:

  1. 1. AI Usage for Article Authors

1.1 Authors may use AI as a tool to support their writing, such as for grammar checking, language structuring, or preliminary data synthesis. However, AI cannot be considered the primary author or a substitute for the author. This is to preserve the human intention behind knowledge creation and ensure that the article offers original academic value.

1.2 Authors are fully responsible for the accuracy, completeness, and academic integrity of the content. If AI is used to generate or analyze any part of the content, authors must ensure that the material is original, does not violate copyright or ethical standards, and is properly cited.

1.3 AI usage must be clearly and transparently disclosed in relevant sections of the article, such as the Abstract or Methodology. If AI is used for data analysis, the article should specify the prompts used to generate content, tables, or images, to ensure transparency and verifiability.

1.4 The use of AI for grammar checks or language refinement is permissible without special disclosure, provided it does not affect the core content of the article.

  1. 2. AI Usage for Article Reviewers

2.1 Reviewers must not upload the manuscript or any part of it into AI tools, as this may breach confidentiality and personal rights.

2.2 Reviewers should not rely on AI to analyze or summarize their assessments, since academic peer review requires human judgment and critical understanding.

2.3 Reviewers may use AI to check grammar or improve language clarity as appropriate, provided it does not influence the academic content analysis.

  1. 3. AI Usage for Editors

3.1 Editors must not upload manuscripts into AI tools unless those tools are specifically designed to detect AI-generated content. Such tools must be reliable, efficient, and capable of protecting the authors’ data.

3.2 Editors should have tools or guidelines to detect AI usage, particularly in cases of abnormal content, such as synthesized material without references, AI-generated images, or unnatural text.

3.3 Editors may use AI for grammar checks or technical document management, provided it does not influence academic decision-making.

  1. 4. Guidelines for Reviewing AI-Involved Manuscripts

4.1 The journal will not consider or publish articles that are entirely AI-generated or not properly overseen by a human.

4.2 The journal reserves the right to reject articles if the authors fail to fully disclose AI usage or do not take responsibility for the published content.

4.3 Authors may appeal decisions related to AI usage by submitting clear evidence. The editor and editorial board will review the case, and if the rationale is found reasonable, the decision may be reconsidered. The editorial board’s decision is final.

4.4 If it is later discovered that a published article violated this AI policy, the journal reserves the right to retract the publication and provide a clear explanation on the journal’s website.

Note: This policy has been adapted and revised from the guidelines of the COPE Council (https://doi.org/10.24318/cCVRZBms) and the World Association of Medical Editors (https://wame.org/page3.php?id=106). (Last updated: April 11, 2025)
